Everything here describes real workflows; the screens you can access depend on your role and enabled modules.

Product guides, step by step

Product guides, step by step

Each guide follows a task from setup to approval, with operational details you can use at work.

Guide 01 All guides

Create an organization and configure your workspace

Start with the right organization type, jurisdiction and access permissions so that later records belong to the right business.

  1. 01

Register and create an organization. Choose whether you are a service provider, food business, laboratory or another supported operator. Set your country, language and time zone independently.

  2. 02

Run the onboarding setup. Choose the relevant activities, processes and modules; review the suggested templates before applying them. Sensitive operational thresholds are not approved automatically.

  3. 03

Add a first operating site or client site. Invite colleagues with roles that reflect their work; you can belong to several organizations and switch between them.

Guide 02 All guides

Organize customers, sites and responsibilities

Keep customer data and the physical places where work happens separate, especially when providers and site owners cooperate.

  1. 01

Service providers create a customer, then add its facilities and their buildings, floors or zones. Food businesses register their own sites instead.

  2. 02

Use the customer and facility import preview when bringing records from CSV or Excel. Check matches before confirming to prevent duplicate records.

  3. 03

Assign authorized employees to the relevant customers or facilities. For another company to participate at a site, use an explicit collaboration grant rather than sharing an account.

Guide 03 All guides

Turn contracts into real appointments

A scheduled contractual obligation is not yet an appointment. Confirm it before it appears on the team calendar.

  1. 01

Prepare a quote with services and sites, approve it as needed, and create the contract with its individual service frequencies.

  2. 02

Check the planning area for obligations generated from the contract. Confirm the obligation into an appointment, choose a date and assign the appropriate professional.

  3. 03

The calendar shows confirmed appointments only. Technicians open My Work, begin the visit, record each service separately and submit it for review.

Inspect monitoring points and record pest-control work

Record repeatable readings at fixed monitoring points without losing the history when equipment is replaced.

  1. 01

Create the site's monitoring points and choose the appropriate device types. Give each point its own identity, and use QR labels to locate it in the field.

  2. 02

During the assigned visit, record the device-specific readings, observed pest activity, evidence and recommendations. Replacing a device does not replace the historical point.

  3. 03

Record biocide application only when the product's authorization has been verified for that jurisdiction. Finish the inspection, then submit it for review and approval.

Guide 05 All guides

Build HACCP plans and complete daily checks

A template starts the work; responsible professionals must validate hazards, control points and numerical limits.

  1. 01

Open a facility's HACCP plan. Review its process stages, risks, prerequisites and control points, and document the basis for each critical decision.

  2. 02

Configure the daily record types and schedules. Any proposed numerical limit needs a validation reference and approval before the system can apply it.

  3. 03

Employees record actual temperatures, cleaning or receiving checks from the daily screen. Out-of-limit values generate follow-up work and a corrective action.

Guide 06 All guides

Perform audits, training and sample collection

Capture evidence, retain a review trail and separate each workstream even when several services happen in one visit.

  1. 01

Choose an audit template applicable to the facility and customize a version when necessary. Complete mandatory questions and attach evidence to findings.

  2. 02

Review nonconformities and the associated corrective actions. Not-applicable and not-evaluated answers do not count as successful checks.

  3. 03

For training, record attendance and signatures per participant. For laboratory samples, record collection and chain-of-custody events through result review and approval.

Guide 07 All guides

Approve reports and manage revisions

The approved PDF represents what was authorized at that moment; corrections generate a new revision instead of rewriting history.

  1. 01

Complete the service or audit and send it to an authorized reviewer. Check observations, signatures and unresolved blocking items.

  2. 02

Approval produces a fixed report revision. Download and share that approved document with permitted users and the customer portal.

  3. 03

If a correction is required, reopen the appropriate record with a reason and approve a revised version. Existing approved revisions remain part of the record.

Guide 08 All guides

Collaborate securely and use the customer portal

A provider, a food business and a consultant may work around the same facility while keeping each organization's own data isolated.

  1. 01

Open organization collaboration settings and grant access to the correct partner, facility and activity. Use the partner's sharing code rather than exchanging passwords.

  2. 02

Review or revoke the grant when the working relationship changes. Access to another organization is always constrained by permissions and the granted scope.

  3. 03

Invite customers to the portal to view their own approved reports, visits and corrective actions. A portal customer can activate an independent organization without losing its permitted history.

Guide 09 All guides

Understand plans, limits and subscriptions

Plans determine capacity; selected modules determine the workflows available. Storage is counted per organization.

  1. 01

Compare Starter, Team and Business for included field professionals or owned sites, storage and template limits. A single-module offer is different from the combined bundle.

  2. 02

In organization billing settings, review the current subscription and available plan changes. The payment flow may depend on the configured payment provider.

  3. 03

Stored documents count against the organization's quota, including generated reports. When the quota is reached, existing records remain accessible while new files are blocked until capacity is available.

Connect systems using API v1

Use the public API reference for authentication, permissions, error codes and safe retries.

  1. 01

Obtain a token through the API authentication endpoint. A two-factor code is required for accounts with MFA; keep tokens private.

  2. 02

Call GET /api/v1/me to inspect memberships and choose the allowed organization. Supply X-Organization on the subsequent API requests.

  3. 03

For retries, provide a stable Idempotency-Key on mutations. Use lock_version when updating records so concurrent changes return a conflict instead of silently overwriting data.

Questions people ask

Questions people ask

Is the customer portal charged separately?

Customers invited to the portal can view permitted information without a separate paid seat. Creating an independent organization with its own plan is a different action.

Why does a contractual service not show on the calendar?

A generated obligation appears in planning first. Confirm it into an appointment and assign the professional before expecting it on the calendar.

Can suggested HACCP limits be used without review?

No. Numerical control limits and sensitive jurisdiction-specific templates require explicit qualified review and the applicable validation evidence.

What happens if storage is full?

New document uploads and generated files are blocked when the organization's allowance is exhausted. Existing documents remain readable and downloadable; changing plans may increase capacity.

Can technicians work from a phone?

Yes. The field interface is designed for a mobile browser, including readings, photos and signatures. Access depends on the person's organization and permissions.
